The Challenge

HubSpot operated alongside the organization's established internal CRM, with both platforms playing different roles across marketing and client data management.

Because HubSpot was not the organization's primary CRM, keeping information consistent between the two systems created an ongoing operational challenge. Changes to marketing subscription data in HubSpot, for example, were not automatically reflected in the internal CRM, creating the potential for records to become misaligned over time.

The challenge was to find a practical way to improve data consistency without replacing the organization's existing CRM, while working toward a more scalable long-term solution.

My Role

Process Assessment

Reviewed how HubSpot and the internal CRM were being used, identifying where disconnected processes were creating gaps in data consistency.

Integration Requirements

Helped define the marketing and HubSpot requirements for a more scalable API-based integration between the two platforms.

Interim Solution

Designed a practical process using automated workflows to help teams keep contact data aligned while a direct integration between the two systems was not yet available.

Data & Process Mapping

Worked with technical stakeholders to identify how relevant marketing data and processes should move between HubSpot and the internal CRM.

Workflow Automation

Built a HubSpot workflow that automatically surfaced weekly subscription changes, giving teams a consistent source for updating records across systems.

Cross-Functional Collaboration

Supported the integration project from the HubSpot and marketing operations side, working alongside the technical teams responsible for API development.

Created an automated weekly reporting workflow in HubSpot that surfaced recent unsubscribes and provided internal teams with a consistent process for updating corresponding records in the organization's CRM.

As the need for a more scalable solution developed, contributed to defining the HubSpot and marketing requirements for an API-based connection between the two systems.

04 — Collaboration


Worked alongside technical stakeholders to translate marketing processes and data requirements into the broader integration project, ensuring the proposed solution reflected how HubSpot was actually being used by the marketing function.

The Result

The project established a structured approach to managing data consistency between HubSpot and the organization's internal CRM.

An automated interim process gave teams regular visibility into subscription changes while reducing reliance on ad hoc data checks. The insights gained through this process also helped inform the requirements for a more scalable API-based integration between the two platforms.

The result was a clearer path toward a connected CRM ecosystem — one that allows HubSpot to support marketing activities while continuing to work alongside the organization's established system of record.

Beyond the Integration

This project reinforced that HubSpot doesn't always need to replace an organization's existing systems to create value.

In complex organizations, the better solution can be understanding where HubSpot fits within the existing technology ecosystem — then designing processes, automations, and integrations that allow those systems to work together more effectively.

That experience continues to shape how I approach HubSpot projects today: start with the business process, understand the systems around it, and build the solution from there.
