The organization had an existing audience receiving periodic email communications, but the program lacked the structure and visibility needed to develop into a more strategic marketing channel.

Communications were sent sporadically, without an established cadence, while limited insight into performance and audience composition made it difficult to understand engagement or effectively nurture the existing subscriber base.

The objective wasn't simply to change platforms. It was to use the migration to build a more structured, measurable approach to email marketing within HubSpot.

My Role

I led the redevelopment of the organization's email marketing strategy from end to end, from establishing the approach and launching its first recurring newsletter to expanding how HubSpot supported everyday marketing activities.

Migration Strategy

Planned and managed the phased migration of approximately 1,000 contacts into HubSpot, structuring the transition to minimize potential deliverability risks.

Subscriber Acquisition

Developed subscription campaigns and created a dedicated webpage and signup form to establish an ongoing path for audience growth.

Email Redesign

Redesigned and rebuilt the existing email template in HubSpot, creating a stronger foundation for a more consistent recurring communication.

Marketing Automation

Built an automated welcome journey for new subscribers, creating an immediate first touchpoint and integrating them into the newsletter program.

Transformed a sporadic email communication into a structured monthly newsletter designed to nurture the existing audience and support thought leadership.

The Approach

From Strategy to Execution

01 — Migrate


Migrated approximately 1,200 existing contacts to HubSpot through a phased two-month transition, allowing the new sending environment to be established gradually while minimizing potential deliverability risks.


02 — Rebuild

Completely redesigned the existing email template in HubSpot and transformed what had previously been a sporadic communication into a formal monthly newsletter with a consistent structure and cadence.


03 — Measure

Used HubSpot to provide greater visibility into email performance and subscriber data, creating a clearer understanding of how the audience was engaging with the communication.

04 — Grow


Built the infrastructure for continued subscriber acquisition through dedicated subscription campaigns, a newsletter webpage and signup form, and an automated welcome email for new subscribers.

From Migration to Marketing Channel

The move to HubSpot created an opportunity to rethink the role of the communication itself.

Rather than simply recreating the existing email program on a new platform, I developed it into a recurring newsletter designed to nurture the existing audience and strengthen the organization's position as a thought leader within the professional services industry.

At launch, the new HubSpot setup supported four users across two teams in two countries, giving the teams a shared environment for managing the newsletter and gaining greater visibility into its audience and performance.

Building for Growth

Once the migration was complete, the focus shifted from maintaining the existing audience to creating opportunities for continued growth.

Subscription campaigns introduced a dedicated path for new subscribers, supported by a newsletter webpage and signup form. An automated welcome email created an immediate first touchpoint for new contacts and integrated them into the communication journey from the moment they subscribed.

Together, these elements transformed a relatively static mailing list into a structured subscriber acquisition and nurturing program.
